Proof of Collection Software

The record that decides who pays when damage is disputed.

Proof of Collection is the evidence created at the moment a vehicle is picked up. It is the baseline every later claim is measured against, and it is the record most often missing or too thin to rely on.

TransportMate captures the collection inspection in the driver app as a structured workflow, so the same points are covered on every job regardless of who is driving.

What a vehicle proof of collection should contain

Vehicle identification

The registration and the job it belongs to, so the record cannot be attached to the wrong movement.

Condition inspection

A walk round covering the vehicle's panels and general state as found.

Existing damage

Any marks already present, recorded with photographs so they cannot later be attributed to the transport.

Photographic coverage

Photographs taken at the vehicle, at the time, in the app.

Signature

Confirmation from the person releasing the vehicle that the record reflects its condition.

Time and place

When and where the collection actually happened.

Why a weak collection record costs money

When a customer reports damage after delivery, the question is always the same: was it there before? Without a clear collection record the operator has nothing to show, and the commercial decision usually goes against them regardless of what actually happened.

A consistent, photographed collection inspection removes most of that ambiguity. It also protects the driver, who otherwise carries the blame for damage they inherited.

Collection records in TransportMate

The collection inspection sits inside the job. It can be completed offline, uploads automatically when connectivity returns, and produces a PDF proof document. Because the delivery inspection uses the same structure, the two records can be compared directly at the end of the movement.

Frequently asked questions

What should a vehicle POC include?

Vehicle identification, a structured condition inspection, photographs, any existing damage recorded with supporting images, a signature from the releasing party, and the time and location of collection.

Is proof of collection the same as proof of delivery?

No. Proof of collection records the vehicle's condition at the start of the movement; proof of delivery records it at the destination. Both are needed to resolve a dispute.

Can drivers capture a proof of collection offline?

Yes. In TransportMate the full collection inspection, including photographs and signature, can be completed without a connection and syncs automatically afterwards.
