How to judge Proof of Collection and Proof of Delivery software when the thing you are moving is a vehicle.
There is no single system that is objectively best for every vehicle transport operator. What counts as "best" depends on how many movements you run, whether your drivers work in areas with poor signal, how often you are asked to prove vehicle condition, and what your office needs to do with the paperwork afterwards.
This guide explains what POC and POD software actually does, the criteria worth comparing, and the questions to ask any supplier. TransportMate is our own product and we describe it plainly in its own section, so you can weigh it against alternatives rather than take our word for it.
POC/POD software replaces the paper collection and delivery note with a structured digital record captured on a phone or tablet. Instead of a signature on a crumpled sheet, the driver records what happened at the handover: the condition of the vehicle, photographs, any damage, the signature of the person present, and the time and place it occurred.
In general haulage this is usually called ePOD — electronic Proof of Delivery. In vehicle transport it matters at both ends of the movement, because most disputes are about whether a mark was already there when the vehicle was collected.
Proof of Collection (POC) is the record created when the vehicle leaves the collection address. It establishes the baseline: mileage and fuel or charge level where relevant, the condition of each panel, existing damage, the keys and items handed over, photographs of the vehicle as found, and a signature from whoever released it.
A weak POC is the single most common reason a transport operator ends up paying for damage they did not cause. If the collection record is thin, there is nothing to compare the delivery record against.
Proof of Delivery (POD) is the matching record at the destination — the same inspection, the same photographic coverage, a signature from the receiving party, and the time and location of the handover. Its value comes from being directly comparable with the collection record.
Photographs taken at the handover, with a recorded time and location, are far harder to challenge than a tick box completed later.
Records are captured once on the device and stay attached to the job rather than living in a cab or a van door pocket.
Completed jobs produce their documentation automatically instead of waiting for sheets to be returned and typed up.
Dealerships, leasing companies and auction houses increasingly expect a clear report rather than a photocopy.
A structured inspection at collection and again at delivery, covering the same points both times so the two records line up.
Photographs captured in the app at the moment of inspection, not uploaded from a camera roll hours later.
The ability to mark where damage is on the vehicle and attach the supporting photographs to that specific point.
Signatures captured on the device at collection and delivery, recorded as part of the proof.
The place and time the handover actually happened, recorded against the record itself.
A finished, readable document produced without anyone assembling it by hand.
Drivers are standing in the rain next to a car. The flow has to be quick, obvious and hard to get wrong.
Compounds, ports and underground car parks rarely have usable signal. Work must be captured offline and sync later.
Creating, allocating and tracking jobs, not just capturing paperwork at the far end.
Keeping the customer informed without the office fielding phone calls all day.
Knowing where the movement is, and being able to show the customer.
Turning completed work into invoices without re-keying it into an accounts package.
Rankings published by software vendors are rarely neutral. A more reliable approach is to score each option against criteria that reflect your own operation, then test the two strongest with real drivers on real jobs.
Parcel-oriented ePOD tools capture a signature against a consignment. Vehicle work needs condition, panels and damage.
Ask specifically what the driver sees, whether the work is retained, and how it recovers when the connection returns.
Check how long records are kept and how you export them if you leave.
Every manual re-entry step is a place where errors and delays appear.
A trial on live jobs tells you more than any feature grid.
In parcel and pallet delivery, the handover is essentially a receipt: someone confirms they received a consignment. In vehicle transport the item being moved is itself the evidence, and its condition at each end is the whole point of the record. A signature alone proves almost nothing.
Each handover records the state of the vehicle, not just that it changed hands.
Existing marks have to be captured clearly at collection so they cannot later be attributed to the movement.
Consistent walk-around coverage at both ends is what makes the two records comparable.
The POC sets the baseline. Where it is thin, the delivery record has nothing to be measured against.
The POD repeats the same inspection so any change in condition is visible.
A signature from the person releasing or receiving the vehicle, captured on the device at the time.
Where and when the handover actually happened, recorded against the record itself.
Proof documents are worth more when they are not produced by a standalone app. In TransportMate they are generated by the same job that the office created and that eventually gets invoiced.
Created in the office with the customer, vehicle, addresses and instructions.
The job is allocated and appears in the driver app alongside their other work.
A structured condition inspection at collection, repeated at delivery.
An optional scan of the walk-around photographs that flags areas for the driver to verify before recording them.
Collection evidence: condition, photographs, damage, signature, time and location.
Progress is visible to the office and the customer can be kept updated in transit.
The matching delivery record, held against the same job as the collection record.
Documentation and progress the customer can see without ringing the office.
Where enabled, completion raises the invoice and syncs it with Xero, QuickBooks Online or FreeAgent.
TransportMate is vehicle transport and logistics software built around the movement itself rather than around a consignment note. A job is created in the office, allocated to a driver, and the driver completes a structured inspection at collection and again at delivery — photographs, damage records, a signature, and the time and location of the handover.
Inspections can be completed with no connection and synchronise automatically once the device is back online. On completion, TransportMate produces the proof document as a PDF report, keeps the collection and delivery records against the same job so they can be compared, and can carry completed work through to invoicing, including with Xero, QuickBooks and FreeAgent.
TransportMate will not suit everyone — operators who move general freight rather than vehicles are better served by a general ePOD product. It is built for vehicle collections and deliveries specifically.
What is POC software?
POC software captures Proof of Collection — the digital record of a vehicle's condition, photographs, damage, signature, time and location at the point it is collected.
What is POD software?
POD software captures Proof of Delivery — the equivalent record created at the destination, confirming who received the vehicle and the condition it arrived in.
What is ePOD?
ePOD means electronic Proof of Delivery: a delivery record captured in an app rather than on a paper delivery note, usually including a signature, photographs and a timestamp.
What is the difference between POC and POD?
POC is created at collection and establishes the vehicle's condition at the start of the movement. POD is created at delivery. Comparing the two is how condition disputes are settled.
Is there a single best POC/POD system in the UK?
No. The right choice depends on your volumes, whether your drivers work in areas without signal, and how your office handles administration afterwards. Compare against criteria that match your operation and trial the strongest options.
Can drivers complete POC and POD from a phone?
In TransportMate, yes — the whole collection and delivery workflow, including photographs and signatures, is completed in the driver app on a phone or tablet.
Does POC/POD software work offline?
It should. In TransportMate, inspections, photographs, damage records and signatures can be captured with no connection and upload automatically when connectivity returns.
Run a real collection and delivery through TransportMate and judge the proof document it produces for yourself.
